Website Updates<o:p></o:p></span></b></p><p class=MsoNormal><span style='font-size:11.0pt;font-family:"Georgia",serif'> Ben added some new ballot table pages separating the ballots for each working group onto its own page<o:p></o:p></span></p><p class=MsoNormal><span style='font-size:11.0pt;font-family:"Georgia",serif'> We should standardize for each working group page how their content appears by default, including locations of the ballot table, charter, and document links.<o:p></o:p></span></p><p class=MsoNormal><span style='font-size:11.0pt;font-family:"Georgia",serif'> We discussed how to tag and categorize ballot publication pages, which are currently a mishmash of tags and categories, making it harder to automatically construct the tables in Wordpress. Right now, Ben is constructing the tables by pulling everything in the Ballots category with the SCWG tag, but not all ballot pages were done that way (resulting in extra re-tagging work).<o:p></o:p></span></p><p class=MsoNormal><span style='font-size:11.0pt;font-family:"Georgia",serif'> Jos suggested using a fixed taxonomy of tags and categories to sort this out, and noted that the current Categories area is not very useful due to the split into working groups and that having the category on the table isn't terribly useful at the moment because everything in one table is in the same category. He suggested, for instance, using tags to identify which working group the ballot applies to, and then categories to define the type of ballot (elections/governance, baselines and EVGs, etc.). He noted we could also reverse those to make the category to be the type of content and the tags apply to what content is there (tags apply to BRs/EVGs, while category indicates SCWG vs CSCWG).<o:p></o:p></span></p><p class=MsoNormal><span style='font-size:11.0pt;font-family:"Georgia",serif'> Ben said categories were the first to be used since tags were not part of WP when we started the page, and agreed the taxonomy needs reworking. Ben offered a training session for people that will be doing content publishing to WP, both to talk through the methods and also to communicate requirements for publications. He'd like to get volunteers that can do publication, beyond just the leadership of each WG, because it'd be good to spread the work around. Ben has written up guidance documents for this and needs to post and promote them.<o:p></o:p></span></p><p class=MsoNormal><span style='font-size:11.0pt;font-family:"Georgia",serif'> Wayne agreed that would be really helpful, particularly the document/checklist, since these are actions people do only every few months. Having a checklist to refer to while doing it would therefore be more useful than a one-time training session.<o:p></o:p></span></p><p class=MsoNormal><span style='font-size:11.0pt;font-family:"Georgia",serif'> Jos agreed on the importance of a guidance doc, particularly noting variance in practices such as the publication dates on pages and back-dating.<o:p></o:p></span></p><p class=MsoNormal><span style='font-size:11.0pt;font-family:"Georgia",serif'> Ben then noted that the publication dates are a challenge due to the new practice of creating empty boilerplate pages to represent failed or withdrawn ballots, to make sure that those new pages don't overwhelm the feed and cover up new content. That means figuring out the dates on which those things happened and back-dating the pages.<o:p></o:p></span></p><p class=MsoNormal><span style='font-size:11.0pt;font-family:"Georgia",serif'> The group then discussed what to do with ballot pages: when should they be created vs. published publicly on the website in the balloting process? Ben asked whether we should create the ballot page during voting, as the current practice is not to create the pages until the ballot has completed voting (even though it has had a number reserved for quite some time). Right now, the practice *should* be to put up the ballot when the voting process completes, but not to include links to the IPR documents, which Dimitris noted should definitely be resumed. The ballot page should be updated when the ballot completes IPR, with links to the final documents generated from it and a notation that it has completed.<o:p></o:p></span></p><p class=MsoNormal><span style='font-size:11.0pt;font-family:"Georgia",serif'> Jos noted that there's no reason not to create a ballot page as soon as a ballot is introduced, since the contents are not sensitive (they're sent out to the list).<o:p></o:p></span></p><p class=MsoNormal><span style='font-size:11.0pt;font-family:"Georgia",serif'> Wayne noted a concern over whether we could keep up with that, due to the current problems of keeping the website up to date without adding that much work. He asked whether we should also keep things updated on the wiki if we're going to keep them updated on the website. Right now, we're doing well if we get a ballot up on the wiki and then up on the website only once it passes. Adding work, he felt, would be a big problem.<o:p></o:p></span></p><p class=MsoNormal><span style='font-size:11.0pt;font-family:"Georgia",serif'> Ben agreed and felt that adding a page when the ballot passes or fails was sufficient. However, to do this, he felt we also needed to note when the ballot passed IPR, add the effective date, and add a link to the draft effective-date docs.<o:p></o:p></span></p><p class=MsoNormal><span style='font-size:11.0pt;font-family:"Georgia",serif'> Ryan agreed with this and noted that this had been the practice for some time (as Dimitris also stated). This is, he noted, a significant amount more work, however. Ryan asked whether this was work that could be delegated to volunteers, and the group agreed it could, as only the Git construction of documents really required the chair/vice-chair specifically to take action.<o:p></o:p></span></p><p class=MsoNormal><span style='font-size:11.0pt;font-family:"Georgia",serif'> Jos asked about requirements for what the effective date must be set to in the documents when releasing it for IPR review. He noted there are specific timetables for when these stages must be entered/exited, but there is no specific language in the bylaws that says what the effective date must be set to, only what the date is that the document must exit the process. The group felt this was more a governance question than an Infrastructure question, but was Infrastructure-related only in that it related to the process and triggers. There was agreement that while the language in the bylaws could be interpreted as commonly has been to date, the bylaws could be clarified on this point.
